This document sets out the terms of commissioning us to produce a custom illustration for you.

Please also read our Privacy Policy.

We maintain an accepting, inclusive, and safe stance with all of our clients.

The cost of producing your custom illustration will vary depending on its complexity and the specifics of your requirements. We will work with you to understand your requirements and create a quotation for the work. This work to prepare a quotation for you is complementary.

We generally issue one invoice at the end of the project when you accept our work as finished and completed. If the project is large enough to be divided into stages, we may invoice in stages. This will be indicated in our quotation, after discussions with you.

All reference material you send to us will be held in confidence. We do not lay claim to any of your business confidential materials.

We do not copy or plagiarise the works of others. You acknowledge that you are an authorised representative of the entity that is legally permitted to commission this work and to share copyrighted and branding materials with us. These include but are not limited to logos, emblems, technical drawings, and product photos.

Reference images from the internet may be used for private communication between us only. We cannot incorporate them into this work unless you own the copyright to those works.

Our quotation is valid for 30 days from the date shown on the front of the quotation document. Our quotation will be in USD, Euro, or AUD, depending on your location. Our quotation will also set out the agreed scope of work and an indicative delivery timeframe. Our quotation may change if you don’t accept the quotation within its valid period, or if you change the scope of work.

Accepting our quotation means an email from you to (a) instruct us to proceed with the work as outlined in our quotation, (b) indicate your acceptance of the amount stated in our quotation, (c) attach a PDF of this page with the fields at the bottom filled in, and (d) attach a purchase order from your organisation if your operating procedures require such an order.

Our quotation only covers (a) the creation of your requested custom illustration, (b) reasonable and minor changes, (c) reasonable time spent on communicating with you, (d) the transmission of preview and completed files to you via Dropbox or email, and (e) fees from PayPal and bank transfers incurred at our end of the transactions.

Our quotation does not cover any extras such as, and not limited to: product or process design consulting, concept design or refinement consulting, writing, page layout, travel to your location, purchasing stock library materials or software applications, printing, purchasing online services such as cloud storage, physical storage media, courier fees, and PayPal or bank transaction fees incurred at your end of the transactions.

We produce custom illustrations for visual appeal, conceptual clarity, and conceptual communication. The custom illustration work we do is not engineering, production, or measured drawings. They cannot be used for manufacturing, building, production or other technical purposes.

You assume full responsibility and all liabilities for how you choose to use the illustrations we produce for you.

It is your sole responsibility to ensure that all the reference and source materials you supply us are correct.

Correcting substantial errors that originated from you may incur additional charges beyond our quotation. Correcting errors that originated from us will not incur any charges.

Work in progress preview files will be sent to you during the course of the work. These will be sent as bitmap files and are not intended for production use.

It is your sole responsibility to check the illustration carefully before accepting it as finished and complete. You are the expert of your product/concept and what you are trying to communicate.

If you spot an error after accepting the work as finished and complete, we will correct this error for you at no charge provided (a) the error is reasonably minor and does not require major rework, (b) the error originated from us, (c) the error is spotted within 90 days of your email accepting it as finished and complete. You also agree that we are not liable for any printing or other production costs you may have incurred as a result of not spotting this error prior to accepting the custom illustration as finished and complete.

Significant changes to the original scope of work (described in our quotation) and additions may incur additional charges beyond our original quotation.

If additional charges are incurred, we will provide a quotation that will add onto the original quotation.

An invoice will be issued when you formally accept, via email, the final set of preview files. Full payment is expected within fourteen (14) calendar days.

We take payments via direct bank transfers or PayPal (credit or debit cards, PayPal, or PayPal Credit.) Note: Depending on your country of residence, you may need to sign up to a PayPal account to pay via PayPal and debit/credit cards.

You are responsible for meeting any fees leveraged by PayPal, your credit card, or your bank, including currency conversion fees if applicable, at your end of each transaction.

When we have received payment in full, we will send you the final files in your request file formats. At this point, you will also become the full copyright owner of the work and these files. You will thus be able to use this work and these files in any way you see fit, without any royalty or further payments to us.

Payments are not refundable.

Until payment is received in full, we will retain full copyright of the work and all working files. In such a case, you may not use any of the files we have sent to you in the course of doing this work. Non-payment may result in us taking further action.

We will supply final files as PNG, PDF, and EPS (Adobe Illustrator CS6 version) files. PDF and EPS files will contain resolution-independent vector elements. Depending on your requirements, we may need to include some bitmap elements, which will be discussed with you. These files will be in the RGB colour space.
